COVID-19 Policy Updates as of Aug 19th

Dear Members:

The health and safety of our members and directors is our highest priority.  With the province now in Step 3 and with NHBT set to begin fall classes in September, I would like to update you on our policy as approved by our Board of Directors on August 18, 2021.  I have summarized a few of the major points listed in the policy, the complete policy is contained below for your review.

Vaccinations:

Anyone planning to attend in-person classes (members, guests, band directors) must be fully vaccinated: proof of vaccination is required. This requirement also extends to any person on the NHBT premises conducting business for NHBT or using the NHBT office space. 

If an individual cannot be vaccinated due to valid medical reasons or is exempt on grounds protected by the Ontario Human Rights Code, an accommodation can be requested.  To ensure the on-going health and safety of all participants, the accommodation that will be offered will be to participate in the class virtually.  Virtual classes are available for all who are unable or unwilling to attend in-person classes.

Please note that partially vaccinated individuals may still register for in-person classes with the assumption that they will be fully vaccinated within 4 weeks of the start of the program.  They will be required to participate virtually until they are fully vaccinated.

As always, we ask that anyone who feels unwell for any reason must not attend any in-person classes or enter the NHBT premises: the classes can be attended virtually until the participants are well.

Building protocols:

All members   will need to fill out a Covid-19 screening form every time they enter the building.  This is done by either scanning the QR code which will be posted on all outside doors or visiting the website (NHBT Screening Form).  You can complete the survey from the comfort of your own home before leaving for class, or just before you enter the building upon arrival if you have a smartphone.  Please contact me should you have any trouble using this app.

Washrooms:  The two main washrooms have been updated as follows:

  • Soap Dispenser:  New contactless dispensers have been filled with an eco-friendly (non-chemical) soap, both of which are manufactured in Canada.
  • Paper Towels: Contactless dispensers will release a premeasured sheet of natural, brown paper.  These are very absorbent towels, so please use only one towel at a time.  A garbage can has been placed below each dispenser to ensure that used towels do not end up on the floor.

In addition, new state-of-the-art air filtration units have been installed in the washrooms, office, hallway, and band room to further ensure your health and safety.

Band Room:  During lockdown, we purchased new easy-to-clean plastic chairs, designed specifically for musicians.   The band room floor will be marked to space chairs two meters apart.  All members will be required to bring their own cloth/towel to prevent any spit from landing on the floor or the chair.   Protocols for entering and exiting the band room will be sent to you in the next few weeks.

Masking:  Masks must be worn unless you are playing a woodwind and/or brass instrument.  Masks can be removed only temporarily to drink during break and outside of rehearsal space. 

Bell Covers: Bell covers are now mandatory for all woodwind and brass instruments.  You can purchase instrument bell covers through many online sellers like Amazon, in addition to retail outlets.  If you are unable to purchase bell covers in time for the beginning of classes, there are many YouTube videos that provide instructions on how to make your own.  For smaller bells, regular face masks will work well and for the instruments with larger instruments, consider using some old sheets, pillowcase covers, or one of those T shirts that you have neglected to throw out.  

Flutes:  Flutes are temporarily exempted from this requirement until a masking/filtering device is found that provides protection without affecting the instrument functionality.

Social Distancing at Break:  To ensure proper distancing, in addition to our hallway, we have made arrangements with SNI for members to use the SNI office foyer, located on the main floor Infront of the double doors.   Please be respectful of those working in the SNI office as well as anyone in the sanctuary.  You will receive more info on this at your first band class.

 Please note that these policies may change as health recommendations from the government change.  It is unfortunate that Covid is still forcing us to implement measures that nobody enjoys, but it is essential that we take all reasonable precautions to maintain a safe, healthy environment for everyone.  More detailed cleaning schedules and protocols will be made available before classes begin.

“It’s Never Too Late!”

Definitions:

In-Person Classes – a class where all participants (students, guests, band directors) are physically in the same band rehearsal space. This may be a music performance class or any other in-person class.

Fully Vaccinated – participant has received their second dose of a 2-dose vaccine series or 1 dose of an approved 1-dose vaccine. The participant has also observed the 2-week waiting period after vaccination during which time the body’s immune system mounts a full response to the vaccine. All vaccines must be Health Canada approved.

Partially Vaccinated – participant has only received their first dose of a 2-dose Health Canada approved vaccine.

Unvaccinated – individual has not received any doses of a Health Canada approved vaccine.

Proof of Vaccination – at this juncture, the Ministry of Health vaccination slip is the only valid proof of vaccination.

Approved by the Board – August 18, 2021

COVID-19 self-declaration is accomplished during the order checkout process.

You will be asked to declare your vaccination status.

This yes/no question appears under the Band Registration Details when your order includes a band or jazz class.

Those who intend to participate in-person for band or jazz class rehearsals must be fully vaccinated ~ see NHBT Vaccination Policy for definition.

You will be required to present documentation to verify this status at the beginning of your first in-person class.

Participation in concerts will depend on your status, health guidelines in effect for the setting and prevailing NHBT policy.

The following safety protocols will be in place effective September 1, 2021:

  • As per the In-Person Class Vaccination policy, all participants in in-person classes or on the premises for NHBT business must be fully vaccinated.

  • Bell covers on woodwind and brass instruments are mandatory. Participants must provide their own bell covers. We are currently investigating viable options for flutes.

  • Masks must be worn unless you are playing a woodwind and/or brass instrument. Masks can be removed only temporarily to drink during break and outside of rehearsal space.

  • Participants must provide their own cloths and ensure no “spit” is left behind on the floors or chairs.

  • Mandatory screening (questionnaire) prior to entering the NHBT premises will be required. Anyone failing the screening questionnaire will not be allowed access to the NHBT premises that day.

  • In the event someone does contract COVID, all classes will be cancelled for the week and a thorough cleaning of the building will take place. The impacted class will be presented in a virtual setting only for 2 weeks and all participants will be restricted entry to the NHBT premises during that time. Everyone in the impacted class must follow local public health guidelines regarding self-isolation and self-monitoring. Participants may return to class after 2 weeks assuming they are feeling well and do not exhibit any symptoms of COVID.

  • Participants who feel unwell for any reason must not attend any in-person classes or enter the NHBT premises: the classes can be attended virtually until the participants are well.

  • Air filtration units will be in operation during class and breaks to ensure adequate air exchange.

  • Chairs will be placed (and must be maintained) at 2 meters apart. Markings have been placed onthe floor.

  • Rehearsal space will be cleaned between classes. This includes wiping of door handles, high touch surfaces and chairs.

  • No beverages or snacks will be provided during breaks. Please do not bring or consume any food on the premises.

  • Teaching staff remaining on the premises for multiple classes in one day may eat and drink on the premises but must do so in the NHBT office by themselves. All other participants must leave the rehearsal space and move to the foyer by the double doors or exit the building.

  • Social distancing must be observed at all times. During break, access to the main door foyer has been granted to minimize congestion in the hall area by the rehearsal room.

  • Please be mindful of social distancing in the washrooms and in the NHBT office space.

  • As the office is no longer available to store instrument cases, small instrument cases (flute oboe, clarinet, trumpet) should be placed directly underneath the member’s chair, together with any bags or purses. There will be designated areas outside the band room for larger instrument cases.

As an educational organization, we are aligning our response to the COVID-19 pandemic with that of the publicly funded schools.  Since there is no firm date for schools to resume operations, the NHBT Board has made the following decisions:

    • All regular in-person classes are cancelled for the remainder of the term, which ends June 5th, 2020.
    • All concerts and public performances are cancelled for the remainder of the term which ends June 5th, 2020.

We Keep Learning

Our teaching staff are committed to providing musical education opportunities to all of you.  Teachers will be providing materials for virtual learning for all classes through the end of our band year.

Summer Classes

If it is deemed safe to do so, summer classes may be scheduled.  We will add updates as we know more. 

Registration for the 2020-2021 Band Year

Registration for the 2020-2021 Band Year will begin on 1 May 2020.  Access our online registration system will be added to the Members page on or after 1 May 2020.

Virtual Annual General Meeting 

Join us for our AGM on Sunday 24 May 2020 from 7:00-9:00 p.m. Details for joining our virtual meeting will be provided to all members via email.

Dear NHBT Members:

We hope this letter finds everyone in good health and good spirits!

The uncertainties caused by the coronavirus (COVID-19) have led the NHBT Board of Directors and the Head of Education to make the following decisions to help ensure your safety and health, in accordance with the guidelines recommended by the Public Health Agency of Canada (PHAC).

Classes and Concerts:

1) Classes will be cancelled for the remainder of this term, which ends June 5 , 2020.

Teachers will continue to provide online programs and workshops until June 5 , 2020.

2) As a result of class cancellations, all concerts, including our year-end concert, The Beat Goes On, must be cancelled as well.

NHBT Future Outlook:

In the past few weeks, Donna and I have received endless emails from members expressing their appreciation and understanding of our actions taken so far, and also raised some concern as to the future of NHBT. It is important for everyone to know that as a result of the dedication of the BoD, its many volunteers, and the continual trust and support received from our members, NHBT is in great shape and fully financially prepared for dealing with the demands of this crises.

In the coming weeks, we will announce the outline for next year’s fall schedule, details and dates for the fall online registration, plus instructions on to how join our AGM, which will be held electronically on Sunday May 24th, at 7 pm.

“It’s Never Too Late”

Dear Members,
As a part of our responsibility to protect the health and safety of all members and the NHBT community, the Board Executive would like to inform you of our current plans with regard to the recent escalation of cases of Coronavirus disease – COVID-19.

According to Public Health Agency of Canada, the risk for Canadians remains low, but that is subject to change. The PHAC provides up to date info 

As the number of confirmed cases increase, the Ontario Ministry of Health is expanding measures to keep the population safe by suggesting a reduction in the number of non-essential public gatherings and recommending strong social distancing measures for all. You may find information about the most current recommendations from the Minister here. Toronto Public Health also provides information for all residents here.

In consultation with health professionals and following the advice to reduce the risk of transmission through public gatherings, we are changing our status on the Pandemic Plan to Level Four for the time period from Friday 13 March through Sunday 5 April. This means the following for our organization at this time:

    • All Spring Break workshops will be cancelled. Refunds will be issued to all members who have paid. Please allow our membership and finance team time to process these. More information will be provided to those who registered for these workshops under separate cover.

    • All Classes will be cancelled from Friday 13 March through Sunday 5 April – essentially a three-week break. (Coinciding with the publicly funded schools’ cancellation.)

    • The 28 March 2020 Concert at Scarborough Bluffs United Church (featuring the Wind Ensemble and Jazz Orchestra) is cancelled.

    • Each teacher will be posting virtual learning modules for their classes during the two weeks following our break week so all members may remain engaged with music.

    • The Board will provide weekly updates starting on April 2nd to confirm the schedule for the following week.

      While we know that disruption to our class schedule is not ideal, the executive feels a responsibility to take preventative measures to protect our vulnerable community from any possible exposure to this new virus. We feel these actions will achieve that goal.

Band Photos are taken at our band rehearsals, concerts and social events.  These photos are shared via our NHBT Dropbox and can be viewed there (by members) or downloaded.

When looking at the photos inside Dropbox, you have the option of viewing as larger or smaller images. The selector for this viewing option is generally located near the top-right of the list of files inside the Dropbox browser page.  

Please respect the privacy of band members and the legislation that protects this privacy.

Never share your NHBT member login with non-members.  If you want to share a special photo with someone outside the band, ensure you have permission from those in the photo and then download from the Dropbox folder to your local computer.
